We should add an off-boarding procedure to the manual, possibly with a checklist. For example, something like:

  • Notify Paxton and Jeremy of your end date
  • Make sure that most current versions of code and data are documented and on github
  • Make sure all data you collected have been backed up and documented. Data should be on github if under 1 GB total (and under 100 MB/file), or on Discovery if any files are >100MB or if the total dataset size is > 1 GB
  • Write up a brief summary or bullet pointed list of what you worked on during your time in the lab (used for project continuity and referenced in letters of recommendation, lab progress reports, etc.). Include github links and/or file paths to code/data. Also include contact info in case future lab members have questions about your work.
  • Optional: If you have any comments, questions, concerns, feedback, reflections, etc., please pass them on in your off-boarding email to Paxton/Jeremy
  • Optional: If you have ideas about the future of the project, please note them in your off-boarding email. Also make a note of any outstanding papers that you're planning to write up, (or software packages you're planning to release, etc.), their current status, links to drafts or github repos, etc. We'll use this to determine which conversations to include you in about the project moving forward.
  • Return any lab equipment you were using and coordinate with Paxton to log equipment returns. If any equipment has been damaged, please let Paxton know.
  • If you have any remaining petty cash (e.g. for running participants), return it to Paxton and sign the close account form.
  • If you have any experiments remaining on SONA that no one else will be continuing, make sure to set them to inactive.
  • Coordinate with Paxton to remove you from IRB protocols
  • Coordinate with Jeremy to add you to the lab "alum" channel
  • Update the lab manual with your end date
  • Clean up your workspace
  • Return keys
  • Keep in touch!
